On certificates
Q1. Whenever I try logging into the Certificate Issuance Service, I get an error and cannot login.
For Current Students
A1-1. For those who have never used the Certificate Issuing Service before
Within the About Certificate Issuance < For Students > page on the KUAS website, please follow the login instructions under the “How to Log in to the Certificate Issuance Service” section. (About Certificate Issuance (For Students ))
* The user ID and password for the Certificate Issuance Service is the same as for Sentan Navi.
A1-2. For those who have used the Certificate Issuance Service before
The password may be incorrect. Please confirm you are able to log into Sentan Navi with the same user ID and password.

If you forget your password, please bring your student ID card to Information and Communication Technology Center counter below and proceed with the reissue procedure.

Your email, password, or secondary password may be incorrect.
If you are unsure, click “Forgot password” and enter your registered email address to reset your password.
* If you are no longer able to access your register email address (for example, in the event the account has expired), or you are unsure whether you have used the Certificate Issuance Service in the past, please register your account again from the alumni login page. Note we may contact you via phone or email to process your request.
Q2.I need to submit a certificate to the “Ministry of Foreign Affairs.”
A2.
Certificates that may be printed at convenience stores are protected by POPITA anti-forgery technology; however, the Ministry of Foreign Affairs does not accept certificates with the POPITA watermark. Please apply for a certificate by mail delivery (after selecting mail, you may choose to pick up your certificate at the Educational Affairs Center.
Q3. I’m scheduled for graduation. Please tell me how to receive a “Certificate of Graduation” (“Certificate of Completion”).
A3.
We provide one free copy each of the “Certificate of Graduation” (“Certificate of Completion”) and of the “Official Transcript” on the day of the Graduation Ceremony. If you need more than one copy, please refer to the About Certificate Issuance page (About Certificate Issuance (For Alumni)) on or after the day of the Graduation Ceremony.
Q4.I am a graduate of “Kyoto Gakuen University” or “Kyoto Bunka Junior College.” Can I still get a certificate issued?
A4.
Yes. Please register for the new Certificate Issuance Service.
Q5.I changed my family name after graduation. Can you issue a certificate with my new name?
A5.
As a general rule, certificates can only be issued with the name you had registered at the time of enrollment.
Q6.Is it possible to receive a certificate with the “leave of absence period” on it?
A6.
Yes. Within the Certificate Issuance Service, please apply from the “Mailing” menu via the following steps:
・Current Students (including students on leave of absence) → “Certificate of Enrollment (with period of leave of absence)”
・Alumni→ “Certificate of Period of Enrollment”
Q7. I am a current student. Is it possible to receive a certificate that lists the subjects I am currently taking?
A7.
Yes. Within the Certificate Issuance Service, please apply for the “Official Transcript (Including Expected Number of Completed Credits).”
Q8. After completing the semester, when will I be able to apply for an “Official Transcript” or “Certificate of Graduation” with the grades reflected?
A8.
Official Transcript
Those expecting to graduate soon : Issuable following the release of judgement results for graduation for each semester (scheduled)
Other than the above : Issuable from the date of grade advancement for each semester (scheduled)
Certificate of Expected Graduation
Issuable from the first week of each semester (scheduled)

Q9. I am unable to receive a “Certificate of Expected Graduation/ Certificate of Expected Completion.
A9.
The criteria for issuance may not be met. Please contact your Educational Affairs Center representative. Additionally, please note that due to grade changes, there are periods in late March and early September when certificates cannot be issued.
Q10. I’m a graduate. Am I able to receive a “Transcript of Credits?”
A10.
“Official Transcript” issued by KUAS includes the “Subject name,” “Number of credits,” and “Evaluation” that have been completed, so if you meet the requirements of the intended transcript recipient, please apply for the “Official Transcript” (For details, please refer to the “Official Transcript” sample).
If you have any questions, such as if your application does not meet the requirements, please contact the Certificate Section of the Educational Affairs Center.
Q11. Can I issue a “Certificate of Withdrawal?”
A11.
No. Please apply for “Certificate of Period of Enrollment” (“Period of enrollment,” “Date of separation,” and “Leave of absence period” are indicated. For details, refer to the sample “Certificate of Period of Enrollment”).
Q12. I don’t know how to use the multi-copy machine at the convenience store.
A12.
After payment, you will receive an email with a “Print Reservation Number” or “User Number” along with instructions on how to print. For details, please refer to “5. Printing Certificates” in the “Printing Certificates” manual.
*The manual can be viewed from the ⚙ mark after logging in to the Certificate Issuance Service.
*Printing from convenience stores require a separate printing fee of 60 yen.
Q13. Can I cancel my application?
A13.
After payment → Cancellation is not possible. We do not provide refunds.
Before payment → If you do not complete the application, it will automatically be cancelled within a few days.
Q14. I found my lost student ID card after paying for a new one. Am I able to get a refund?
A14.
We do not provide refunds. Please exchange your old Student ID card for your new one at the Educational Affairs Center.
Q15. I had a name change while enrolled as a student. Is there a fee for issuing a new Student ID card?
A15.
Your old Student ID card can be exchanged for a new one free of charge. If the old Student ID card is lost, a reissue fee of 5,000 yen will be required.
Q16. If I want to receive a certificate by mail, can I use a name other than the person in question as the “addressee”?
A16.
As a general rule, certificates should only be sent to the applicant. If you wish to have a certificate mailed to an address other than your own, you must submit a separate “Letter of Proxy” in your own handwriting. Please contact the Certificate Section of Educational Affairs Center for more information.
Q17. Is it possible to have a certificate issued in the format specified by the recipient?
A17.
Please contact the Certificate Section of Educational Affairs Center in advance. We will check the contents of the prescribed certificate and guide you through the issuance procedure. (If you have any application guidelines, we may ask you to submit them, so please prepare them as well.)
* The issuance fee will still be required for prescribed certificates.
Q18. Can I apply online from overseas?
A18.
Yes. Please note, however, the convenience store printing service is not available outside of Japan. Please apply to have your certificated issued via mail or send online.
* International mail deliveries will be provided by EMS. Please confirm in advance the available service regions from the Japan Post website.
Q19. Is it possible to receive a certificate in a digital format such as PDF?
A19.
It is possible for the applicant to send a certificate* PDF directly to the e-mail address of the recipient by using the “Send Online” service.
The recipient of the certificate can download the certificate from a single-use URL. Please note we cannot digitally issue certificates that are not covered by the “Send Online” service.
*Certificates are embedded with a digital signature and timestamp from the certificate authority.
Q20. Are you able to mail certificates directly to overseas universities and institutions?
A20.
As a general rule, we do not issue mail delivery certificates to anyone other than the applicant. However, should the recipient institution only accept direct mail delivery for certificates, we can make an exception. Please follow the steps below to have your application processed.
Application method
・Within the Certificate Issuance Service, enter the name and mailing address of the recipient institution (please double-check the mailing address at this step, as it cannot be edited after the application is complete).
・Please enter the following in the “Remarks” section. (Required)
“I would like to have the certificate sent directly to ●●(name of the recipient institution). I will not hold the university liable for any incidents during the mailing process.”
・Please have a document stating that the receiving institution will only accept direct mailing of the certificate. Upload and attach that document to the “Mailing Options” section. If that document is in a language other than English or Japanese, please also attach an English or Japanese translation.
* International mail deliveries will be provided by EMS. Please confirm in advance the available service regions from the Japan Post website.
Q21. I am unable to apply online.
A21.

On Student Discount Certificates

Q1. Can a Student Discount Certificate be issued during a leave of absence?
A1.
Yes. The Student Discount Certificate can be issued with your Student ID card at the Student Discount Kiosk within the Educational Affairs Center of either campus.
Q2. I am a non-degree student. Am I able to receive a Student Discount Certificate?
A2.
No. Other non-degree students, such as research students, auditing students, and credit transfer students, are also ineligible for student discount certificates.
Q3. How many Student Discount Certificates can be issued at the same time?
A3.
Multiple Student Discount Certificates can be issued at the same time. Please note, however, when purchasing tickets for an identical transit route, you can purchase up to two transit tickets with one student discount certificate.
